Matterly comes pre-configured with features designed specifically to support the management of legal matters. Your main Matterly dashboard is populated with the most important information for legal matter management, including quarterly performance data, key deals, events, tasks, and a virtual assistant that tells you what items currently need your attention.
Collection, litigation, and general matters are supported by default. In addition, a number of custom data types have been pre-created and are available to access, including recovery resources, matter assignment, time tracking, invoicing, expenses, payments, and more.
Matterly will calculate key data points related to any given matter, including total amounts owed against judgements for collections purposes, total fees due, amounts received prior to judgment, and dates when certain actions can take place, just to name a few.
Creating new matters in Matterly is easy, thanks to custom entry wizards that exist right in the app.
For collections, litigation, and general matters, it’s easy to enter key information related to clients and accounts, contacts, corporation and other entity information related to an account, and the details of the matter itself. Creating matters shouldn’t be confusing or time-consuming. Matterly allows you to save significant amounts of time in creating the records you need to support accurate and efficient matter management.
Within Matterly, it’s also a breeze to assign matters. The software makes it easy to define who within your organization is related to a given matter, as well as what their role on the matter is. You can also specify each assignee’s rate for a matter based on their role, whether that’s partner, associate, paralegal, or something else. The designated hourly rate for each person will track with all the work they do on the matter going forward.
Matterly also makes it easy to master document production with DocuGen.
You can upload your own templates and use merge tags that will import relevant information directly from matters and their related records in Salesforce. Document production with DocuGen is highly configurable, meaning you can always decide what information shows up where, and you can choose whether you want to export your finalized document as a Word document or a PDF. Documents are generated quickly and always attached to the originating matter, without the need to juggle systems or software.
Email Parsing
Directly within Matterly, you can use the Email Service feature to parse your emails that relate to court actions.
With this feature, you can set up forwarding rules in your regular email service that will direct Supreme and Civil court alerts to Matterly and associate them to your matters.
Whenever an alert is sent from the New York State Courts Electronic Filing System, for example, to the email address you’ve designated in your Email Service, Matterly will attempt to locate a matching matter based on an index number or a caption. If a match is found, Matterly will automatically associate that email with the correct matter, and any email attachments are downloaded and attached to your matter in Matterly. Matterly will even populate your matter with an index number from the email if your matter is missing it. If no match is found, Matterly will create an Email Staging record and download all attachments. You can then manually assign that record to an existing matter, and future emails will automatically routed accordingly.

Time Tracking Simplified
Time tracking is a task that’s notoriously dreaded by lawyers. Matterly takes this on and makes it painless.
Using a Lightning Component, Matterly makes it simple to track time spent on individual matters. As you navigate around the Matterly system, you’ll be reminded that you’re logging time for a specific matter, even as you move from screen to screen. You’ll be prompted to confirm that your time is being tracked to the right matter, and when you say yes, that time is automatically saved.
Hourly rates are drawn from a Master Personnel record and automatically applied to time saved. If a user isn’t on the record for a given matter, the time is flagged and sent to an administrator for review and approval.
With flawless time tracking in Matterly, you never again have to worry about losing precious billable time. All the hours you work will be included in your bills at the end of the month (or whatever your billing cadence is).
Integrations and Service of Process
Another great benefit that Matterly offers is that it makes service of process easy and accurate. Matterly offers API integration with Proof, a nationwide service of process company that provides service in nearly all jurisdictions across the U.S.
If you need to serve a document, it’s as easy as selecting that document in Mattrely and sending it to Proof.
The system walks you through service step by step, prompting you to choose documents and recipients. The entire process is managed directly within Matterly, allowing you to update or cancel service as necessary, and send and receive messages related to the service of process. Any updates on your service are delivered to you automatically, and those alerts can be configured to your preferences.
Matterly also offers API integration with Click2Mail, which handles certified and standard mail service. If you need to send a document, simply upload it to Click2Mail directly from a matter in Matterly. Again, you’ll be guided step by step, being prompted to choose the right document, the letter size and document type you need, the address of the recipient, and all other information necessary for mailing. If tracking information and delivery status are available, they can be viewed directly in your matter in Matterly.
